We have developed a digital assistant to help Ukrainians forced to flee their homes due to the war with Russia. The main purpose of our project: Helping and guiding Ukrainians through tones of necessary information on adaptation abroad. The chatbot exists in both Telegram and Viber messengers, provides up-to-date news and contains useful information about the following: • social assistance • accommodation and job search • online consultations with Ukrainian doctors • answers to different legal questions • all the nuances of staying in any of the 45 countries of the world How to use the service: We find @ HandyFriendsBot in Telegram or Viber messengers (via search engine); we fill out a small questionnaire about staying in a particular country; we get all useful information about adaptation: job search, housing, doctors, help provided for mothers with children, etc. DESIGN Color selection. The main emphasis when choosing colors for corporate identity was on, first of all, association with the Ukrainian people and support for them. It was symbolic to take Ukrainian flag colours, which highlight both the country we come from and the message we bring to society. The intertwining of blue and yellow shows the transparency of intentions and the harmonious merger of those who want to help. Logo. The main logo of HandyFriendsBot in Telegram and Viber messengers is the heart on a blue&yellow background. A small heart in the form of the letter O is taken from the word "Bot." Thus, we wanted to show our users that the chatbot is not just a digital platform, but also a close friend, who will always be helpful to Ukrainians abroad. Naming. The first association with such a service should be its convenienсe - always at hand in your smartphone - just like your friends, who are always in touch with you in any messenger. Here was born the name - HandyFriendsBot - that is, if literally deciphered - "Chatbot of convenient friends." The design of corporate identity and logo was developed to be visually simple and immediately understandable. Therefore, we do not distract the audience from the main message our digital platform carries. DIGITAL & MOBILE ADVERTISING HandyFriendsBot is a digital platform (chatbot) in Telegram and Viber messengers. We also have a website (https://www.handyfriends.handy.ai) that contains all the basic information about the service itself, links to the digital assistant in two messengers and more detailed information on how the chatbot works and what it is aimed at. We support our service by placing banner ads on these social networks: Facebook, Instagram, LinkedIn and Twitter. SOCIAL MEDIA & INFLUENCE HandyFriendsBot is a volunteer project, but we have already been supported by many organizations, opinion leaders and media. Main partners: Google for Startups, Viber Rakuten, MFA of Ukraine, network "Nova Polyclinica," Ukrzaliznytsia. Media that wrote about us: Verkhovna Rada of Ukraine, Vector.media, Lviv Regional State Administration, Facts. ICTV, Liga. Net, Vector. Media, dsnews.ua, jassy.tour, saad.festival and others. We also have an additional function - "Expert Opinion," which provides users with answers from professional lawyers or medical experts. PR CAMPAIGNS + INTEGRATED CAMPAIGNS • Rapid tailoring of the PR-strategy and development strategy to social and political changes • Placement of articles in different sources, publications in social networks • Collaborative work with our partners, who also promote our project in their sources • Fundraising campaign launched on various international platforms • Preparation of internal texts of the bot in the same style • Creating a database of media/social networks/messengers for interaction, establishing cooperation • Copyright appeal to potential partners • Copyright appeal to potential HandyFriendsBot Ambassadors • Writing content plans • Development of performance creatives and content • Project presentations planning • HandyFrindsBot founders’ image campaign: activity on social networks, media; creation of blogs in popular media (such a free option is available on the "Left Bank," "Ukrainska Pravda," "Novoe Vremya" - however, this is at the stage of obtaining real results of HandyFriendsBot work) • A separate section "Expert" was implemented (expert comments from professional lawyers on the most common issues that concern Ukrainians) DIRECT CAMPAIGNS Owing to the daily work of our volunteers, posting on social networks, our partners’ support we have reached the mark of 56 thousand users in two messengers in just two months and without additional financial support. We have already launched our first fundraising campaign so as to reach more Ukrainians around the world and develop the service much faster. ACTIVATION CAMPAIGNS • Each of our social media posts is always accompanied by links to the chatbot in Telegram and Viber messengers. • We also encourage our audience to actively share links leading to the digital assistant; 644 users thereby have already come upon request. • Placement of the video and posters in the trains of "Ukrzaliznytsia" enabled us to attract 144 users - and this without financial assistance! • Users share their feedback about the digital platform and we can (with their consent) post such reviews on our social networks. • We have made it possible for HandyFriendsBot users to share information they find on each country separately and send it directly to the chatbot. LOCAL SOLUTION HandyFriendsBot digital assistant provides all the necessary information on adaptation in 45 countries. Thanks to our Google for Startups partner, we have additional opportunities to develop our digital assistant. Thus, connecting Google Maps helps to identify a location more accurately. This tool also provides way more relevant information about a specific location in a particular country, or (very soon) - in a particular city. SUSTAINED SOLUTION HandyFriendsBot is a digital assistant for Ukrainians abroad. Our idea of creating such a chatbot for Ukrainians is not new. For this reason, we decided to improve the project: to develop it widely in many directions, to give access to additional functions that will be useful to all refugees. Each response a user receives comes directly from a living person, who is on the other side of the screen. Therefore, our project is rather a digital pocket friend, who will always be with you and tell you how to solve all the problems abroad. TECHNICAL OVERVIEW OF THE PROJECT The first steps in creating the project were: conducting UX studies, which included analysis of surveys and interviews with Ukrainians who were forced to go abroad. Based on such studies, we have identified our target audience and user needs. Basic needs: • detect information quickly • illuminating and understandable service • using the service from anywhere - with a smartphone or a laptop The next step after developing the platform infrastructure is to create a scenario for a user to solve their problem. In order to create a business process, we used Scenario editor - a powerful editor for configuring and integrating scripts. It also helps to track the progress of users in real time and explore the red lines of users. Filling the chatbot with content became another issue. For this task, we used Content manager - a constructor that allows you to create a hierarchical folder structure. The structure will be displayed in the form of buttons, where you can attach various materials: text, pictures, GIFs and videos. This accelerated the process of filling 45 countries with content, which then allowed us to quickly launch and make the conversation with the user more effective. Toolbar HandyFriendsBot provides easy access to the collected information about users. It is possible to view complete information in one interface with the ability to see what steps each user has taken. Based on such data, we have the ability to create and manage segmented audiences according to different datasets (gender, age, behavioral data). We also use the function of sending content to one or more segmented audiences. The content consists of: • text • photo • links • video • buttons • made HTML-article For users who cannot use the digital platform - we also have the ability to send SMS messages. When working with a digital platform, there is the ability to send invitations to an event to a certain segment of the audience or to a selected user: • online or offline • providing all information about the event (time, place, link to the broadcast) • keep records of attendance and activity at the event (questions, likes of speakers, etc.) There are these functions available in the user menu: • FAQ: this is a function of answering frequently asked questions. It was implemented after a month of use and analysis of frequently asked questions from users • Donate to the project: allows you to support the project financially without clicking on a special link • Settings: in this section users can change the country or report the problem found in the working capacity • Invite a friend: contains a text message with links. This one allows users to quickly share the chatbot with a friend or an acquaintance • Information menu: hierarchical structure of buttons containing information divided into categories (housing, health, etc.) Project results for two months. Analytics as of 23th of May, 2022 Using the analytics module, which is connected to the chatbot, we monitor the following parameters: • Total number of users in the bot - 56937 • Number of users in Telegram (36082) and Viber (20809) • The number of users who carried out the activity (clicked in the bot): – per day coverage of 1759 clicks – per week about 10975 • Number of clicks on a particular button in the bot (?) • Number of calls to the moderator from users: 2205 calls • Number of queries in the search engine: 3052 queries • Number of likes/dislikes through mailings: – likes 3762 – dislikes 270 • The number of people who have passed the survey and their answers – one survey with an audience of 400 people – 80 of them answered • Number of resources and how many users came from there to the bot: – 23 resources – attracted 2228 users • Number of authors and number of publications shared with the bot: – 25 authors – 40 publications We also have TOP-5 countries where Ukrainians are now most active in domestic analytics: • Poland: 7393 • Germany: 4974 • Spain: 1816 • Czech Republic: 1763 • Italy: 1290 The most popular and basic requests from users in the chatbot are "Accomodation" (51%), "Work" (10.2%) and "Social Assistance" (11.5%). We have received more than 3000 likes for two months of active communication with users. 644 users have already joined us via the "Invite a friend" function. New users join us every day, owing the placement of posters and videos in Intercity trains. At the moment, there are 144. The next big goal of this project is to reach 100,000 users.
